Yes, making online payments using ATOM is available. One option is to use your current card processor as long as your credit merchant uses the Gateway, Authorize.Net. You can discontinue your ATOM Software at any time by contacting ATOM Support. We will send you a cancellation letter which you can sign and set the effective cancellation date. Prior to that date, you can run a series of reports to export your client/office data, and individually move any stored document in your ATOM Site. If you wish to purchase a one-time site document backup, we can initiate your request prior to leaving us. After the agreed-upon cancellation date, all of your site data and documents are permanently deleted from our servers ensuring you and your client’s online safety.

ATOM’s Value-Added Services Suite, email, text, VoIP, and fax significantly help solidify your software’s ability to be an all-in-one application and enhance your communication abilities. While they are not required, they do provide incredible benefits. Many of our users believe them to be near-essential.

Any scanner will work with ATOM, but we recommend a quality, high-speed, duplex scanner such as the Ricol (formerly Fujitsu) ScanSnap.

ATOM’s Employee Punch-Clock feature can easily track employee time for billable and payroll purposes. For offices that wish to set safety parameters to prevent employees from accessing ATOM outside office hours or designated workstations, ATOM can easily customize your individual employees’ access permissions by work schedule or IP Address.

The simple beauty of ATOM’s cloud-based application is that users can log in from anywhere in the world. You are no longer chained to one desk with a static software package that is only installed on specific machines. You no longer have to worry about being in two places at once as you can work from anywhere and still see everything happening at any of your locations. Offices with more than one location can access all workflows, calendars, reports, and client information in one convenient ATOM website.

Once we receive your contract, we will process your payment and create your custom software URL. This process usually takes 1-3 business days. Once it is finished, we will email you information on how you can access your new ATOM site. We will also schedule your first ATOM Training session with you to go over the basics and discuss your future training needs and plans. Most offices begin their ATOM training with sessions designed to help customize their main Workflow and Document Storage / Client Portal needs.

ATOM works seamlessly alongside every tax preparation software, and we have clients across the entire North and South American continents.

We strive to provide the best customer support in the industry! All our clients have access to unlimited training and support. We do not charge for any of your support needs and are available all year by phone, text, email, fax, or portal message. We encourage you to utilize both our online support and our phone support as much as needed. Our goal is to ensure you fully utilize ATOM to its potential and have the support to do so.  ATOM Support and unlimited training is FREE!

Yes, ATOM can work on any Web browser. Offices with a Firewall will need to request their provider to “Whitelist” their ATOM site to ensure all its features can function as designed. As long as your remote server allows you to download the internet browser of your choice, your access to ATOM will operate as needed. In rare cases, you may also need to contact your server provider to adjust your browser permissions to allow full ATOM access.

We recommend limiting individual file sizes to 1GB. Files greater than 1GB may require programmer site permissions or extension approval if your file is an uncommon file type. We work with individual offices to adjust as needed.

Your ATOM software includes unlimited storage with no additional fees. All sites have a 14-day site and document restoration timeline. We do offer unlimited Document Restoration for an additional annual fee. Contact ATOM Support at 517-940-8745 for pricing.

To ensure the highest level of confidentiality and security, it is our goal to clarify our policy on the collection and use of customer client data. We define customer client data as your company’s personal information and your client’s personal information. We will not give, sell or use your customer client data to any outside company for its use in marketing or solicitation. In addition, ATOM will not market or solicit your company’s clients. When you provide your customer client data to ATOM (such as name, company name, address, phone number, email, client Social Security Numbers, client Employer Identification Numbers, and electronic filing data), we will maintain its confidentiality and it will be used only to support your customer relationship with ATOM.

Our employees are trained and required to safeguard your information. Using physical, electronic and procedural safeguards, we restrict access to personal information to those employees for business purposes only.

All communications between your computers and our servers are secured with 256-bit Secure Sockets Layer (SSL) encryption. We use GlobalSign SSL Certificate for the most secure option for SSL with the highest authentication and the strongest encryption.

We host our servers on a Private Cloud network at Liquid Web, a SSAE-16 Type audited secure data center located in Lansing, MI. All uploaded documents are stored redundantly with Amazon S3 across three availability zones, each separated by miles across an AWS region.

ATOM does not have a downloadable application as our site has dynamic programming that adjusts to your mobile screen and can be accessed on your phone or tablet’s web browser. Neither you nor your clients are required to download an outside application to instantly access your database or portal. Your sites are always available no matter what device you might be using.

All you need is Internet access. ATOM will operate on any web browser. We recommend Edge, Chrome, or Firefox. *Safari has no known issues at this time, but Apple programming may sometimes interpret some ATOM functions differently (icons or permissions).

We recommend sufficient high-speed internet packages for your commercial or home offices to ensure your ATOM pages and extra functions can operate quickly and efficiently.

No additional software is needed. Because ATOM is a secure web-based application, you are not required to download or install another application to your own server or office hardware. Your office will receive a customized suite of sites that can be accessed from any internet browser within seconds. Your site’s data is individually housed at a secure data center and backed up continuously.

Yes, this is a simple process. We can import your client data from any tax software, QuickBooks, or database with our Excel templates. The ATOM support team will assist you with this process to ensure all your clients are migrated accurately and successfully.

2. Pricing

There are no ATOM Software fees for training.  Training is FREE and unlimited.

We will refund 100% of the software’s purchase price if you are not completely satisfied within the first 60 DAYs of purchase. This refund policy is good for the first licensed year only.

Twilio charges calls by the minute. The charges vary based on your internal Twilio setup, call volume, calls in, calls out, and conference calls. The per minute charges are accrued and billed to your credit account stored with Twilio.

InterFAX offers customized pricing packages to fit your office needs or seasonally adjusts your account to allow for a busy tax season. Package prices are set in increments of 100 pages (minimum per month). A one-time setup fee is billable on your first month’s invoice, billed separately by InterFAX.

Base monthly charges are set to a 100-page minimum and would be $14.00 / month even if you don’t use your 100-page minimum.

 

Process payments inside client files or allow clients to process their own payments from their Client Portal.  There are no ATOM Software fees for this feature.

4. Knowledge Base Questions

For security purposes, attachments are not allowed to safeguard against computer viruses. We recommend that you upload any attachment using the Secure Client Portal.

There are a few reports you can run.
1. The Mgt – Balance Due statement (start date must include the Act Received Date – and take 24 hrs. for new transactions to show) is designed for mailing.
2. The BK – Client Balance is a great one to sort in Excel and runs off the Transaction Date.
3. The BK – Client Balance for Open Transactions (A/R with Aging) is great for aging transactions, BUT your office must use the Done/Not Done feature for unpaid fees (and marked Done with paid) for this report to work.

Yes, you can purchase a full document backup for $100 anytime. Our programmer compiles your files in a package that you can transfer to your chosen computer to save. This includes any document you currently have stored in your ATOM Site.
