Client Batch Update

Client Batch Update is used to mass update the Contact Information of a group of existing clients. Typically, this process would require sending a task to our programmer. Now, you can do it right from your ADMIN Tab. First, you will need to download the Excel Template (downloadable from the page instructions). Second, you can enter the information you want to Update into the appropriate column on the Template. Please DO NOT change any column or the order on the Template or you will not be able to complete the process. Once you have filled out the Template, you can upload the file and click Process File.

NOTE: Client Batch Update is NOT intended to mass import NEW clients. #

For your database to be updated, ATOM must be able to match the Access Code. The Access Codes for the Primary Tax Payer and Spouse must match an Access Code in an existing file in ATOM for the Batch Update to be able to work. *New Clients can be entered by hand or you can contact ATOM Support to discuss options for a programming update.

Downloads and Buttons #

All downloadable links, buttons, and features are listed below:

Excel Template – The instructions are listed on the page and you can find the hyperlink “here” to start the download of the Excel Template you will need to fill out.

Browse – This button will open your computer’s file explorer. Use this to find your newly Saved Excel Template after adding your information.

Drop File Here – This is a “Drag and Drop” function where you can upload your Saved Excel Template.

Process File – Once you have uploaded your Excel Template, clicking this button will begin the process of updating your files.

Processing Columns #

Once you have processed your file, you will see a list of all the clients that were on that Template, and a few new columns will appear:

Total Count TP – This will display the total number of Tax Payers on the processed Template.

Updated TP – The updated TP will have its display total. In the list below, they will also appear as not having any color indicator.

No Match TP – This will display the number of entries on the Template that did not match a client record inside ATOM. These will be highlighted yellow in the list below:

Total Count SP – This will display the total number of Spouse SSNs on the Template.

Updated SP – The total number of updated Spouses will show here.

No Match SP – This will display the total number of SP SSNs that did not match any record. Sections of the Spouse columns will highlight in yellow.

Error – This will display the total number of entries that could not update due to a template mistake. Entries that have an error cannot update due to a data error. Common issues include Dates in the wrong format or incorrect State abbreviations. These will highlight in orange in the list below.

Below these columns will be a list of all the entries on the Template. All the columns that were on the Template will be displayed. There will be two new ones, though:

Status – This will display the status of the entry. These Statuses are:

          Match TP – The software was able to match the TP SSN.

          No Match TP – The software was unable to match the TP SSN.

          Match TP and Match SP – The software was able to match both the TP and SP SSN.

          Match TP and No Match Spouse – The software was able to match the TP SSN but not the SP SSN.

          No Match TP and Match SP – The software was not able to match the TP SSN but could match the SP SSN.

          Error – The software found an error when trying to update the entry.

Error – This will display a standard error message to help fix the entry.
