Account Documents #

The Account Documents section is used to store the client’s documents specific to that Year and Business Type.
For example, you would store the client’s 2024 tax documents in the 2024 Tax Preparation Account Docs section.
This allows you to store and retrieve important client documents without keeping physical copies in your office.
You can also set up E-Sign for documents here.

Note: For documents not specific to a certain Business Type or Account Year (e.g., Driver’s Licenses, Power of Attorney, etc.), upload them into the Permanent Docs section.

Field Descriptions #

Navigation Buttons #

  • Type – Checkbox that groups documents by Upload Type. Clicking View shows all uploads of that type at the top of the page.
  • Uploads Filter – Dropdown to filter by All Uploads, Closed Uploads, or Open Uploads.

Add #

This button is the primary way to upload documents into a client’s file.
Clicking Add opens a new pop-up menu with the following fields:

  • Upload Type – Dropdown to select the category of the document.
    Note: Customize Upload Types in Admin > Category Types > Upload Types.
  • Client Access – Sets the client’s access level:
    • No Access – Client cannot view the document.
    • Full Access – Client can access the document.
    • Limited Access – Client must settle their account balance before viewing.
  • Done – Checkbox that marks the uploaded document as complete.
    Note: Documents not marked as Done appear highlighted in yellow.
  • Disable Notifications – Checkbox to disable automatic upload notifications.
    Note: Set up notifications in Admin > Category Types > Upload Types > Upload Type Notifications.
  • E-Sign Client – Enables E-Sign for the primary client.
    Notes:
    • Requires Full Access enabled.
    • Requires Access Code, Zip Code, First & Last Name, and Date of Birth in the Name/Address section.
  • E-Sign Spouse – Enables E-Sign for the spouse.
    Note: Both E-Sign options can be auto-enabled via Admin > Category Types > Upload Types > Default E-Sign Client/Spouse.
  • Predefined Notes – Dropdown to insert a predefined note with timestamp and user info.
    Note: Configure in Admin > Category Types > Upload Types > Predefined Notes.
  • Timestamp Clock – Adds date, time, and User to the Notes field.
  • File(s) – Displays selected files ready for upload.
  • Browse – Opens your device’s file explorer to choose a document.
  • Drop Files Here – Drag-and-drop area for quick uploads.
  • Save / Close – Uploads document(s) and closes the menu.
  • Clear – Clears all fields in the pop-up.
  • Add Additional Uploads – Uploads current files and keeps the menu open to continue adding more.

Actions #

Contains several document-specific options:

  • Delete – Deletes selected document(s).
  • Download as ZIP – Downloads selected document(s) as a ZIP file.
  • Fax – For users with Fax enabled. Opens a side menu to enter the recipient fax number, client name, description, and an option for a cover page.
  • Move Uploads – Opens a pop-up to move selected documents to other Account Years or to Permanent Documents.
  • Override Fields – Opens a pop-up to mass-update File Access, Notification settings, or Upload Type.

Update #

The Update button works with the Done checkbox found in the Done column.

Column Headers #

  • Actions – Contains a selection box, an Edit button (to reopen the upload form), and a Delete icon.
    Note: If the document has been E-Signed, a Printer icon will appear to view the signature certificate.
  • Done – Checkbox showing if a document is complete. Incomplete documents are highlighted.
  • File – Displays the file name (highlighted if not Done).
  • Upload Type – Displays the type assigned to the upload.
  • Description – Displays any notes added to the document.
  • File Access – Displays the access level (Full, Limited, or None).
  • Electronic Signatures – Displays E-Sign status:
    • Blank – Not set up for E-Sign.
    • Red ❌ – Pending client signature.
    • Green ✅ – Client has completed E-Sign.
  • Tracking – Shows who uploaded the document and the date/time of upload.
