Business Types

Creating and utilizing Business Types will help you organize your clientele and workflows. Business Types should be created to manage the many businesses or services you may run out of your office (e.g., Tax Preparation, Bookkeeping, Insurance) as well as separate the jobs and employees needed to complete them.

Use the Business Type screen to add, edit, delete, and inactivate Business Types. Business Types and their corresponding Office Events are displayed individually on the Homepage and detailed in the Client’s Overview section of their contact file.

Note: In ATOM, Business Types correspond to separate workflows. Though you may have slightly different events to complete an 1120 vs. a 1040, it is the same workflow to complete the account’s tax return. While the workflow to complete the same company’s payroll for the year is separate and therefore has its own Business Type.

Field Descriptions #

Business Type Action Icons #

  • Show Inactive Records – Selection switch to display all Business Types that were marked as Inactive.
    Note: Make an inactive Business Type active by editing the Business Type and deselecting the Inactive check box.
  • Edit [Pencil icon] – Opens an individual Business Type for editing.
  • Cancel [No icon] – Cancels editing without saving.
  • Save [Floppy disk icon] – Saves the current setup of the Business Type.
  • Delete [Trash can icon] – Deletes the individual Business Type.

Business Type Columns #

  • Business Type Name – Customize the name of the Business Type.
    Note: Business Type Contacts is typically used to organize all your office’s contacts (e.g., landlords, marketing reps) and not your business clients.
  • Abbreviation – Add a two-letter abbreviation for your Business Type.
    Note: The abbreviation may appear, if enabled, on the Appointment Scheduler next to the contact’s name.
  • Display in Appointment Scheduler – Checkbox to show the Business Type Abbreviation next to the contact’s name.
  • Linked to EF Data – Checkbox to display the EF Database task bar in the Client File under this Business Type.
    Note: This does not control EF imports for Drake, Crosslink, or TaxWise.
  • Disable Events – Checkbox to disable office event tracking on the Homepage. Selecting this removes the Business Type from the Homepage pulldown but not inside the Client File.
  • Color Coding – Choose a color to visually code your Business Type. The color appears on any appointment on the ATOM Appointment Schedule.
  • Inactive – Checkbox to remove the Business Type from options on the Homepage and pull-down menus in ATOM.
    Note: You will retain all data associated with the inactive Business Type. It can be reactivated anytime.

Tip: Some clients may not see a hidden client file that ATOM indicates exists but doesn’t show in search results. The file may be under an inactive Business Type—activate it, find the client, assign an active Business Type, and inactivate the old one again.

  • Don’t Display on the Client Portal Events – Checkbox to disable event visibility for this Business Type on the Client Portal.
  • Default Year (Years to Add to the Current Year) – Field to control the default new Account Year when checking in a client.
    • 0 = same year (Bookkeeping)
    • -1 = previous year (Tax Preparation)
    • 1 = next year (Prospects)
  • Display on New Client Appointment Page – Checkbox to include this Business Type in the “How can we help you” dropdown on the New Client Schedule Appointment page. You can view the New Client Appointment Page Here.
  • Order Client Account Events By Ordinal – Checkbox to order client file Office Events by ordinal rather than creation date.
  • Display in Account Information – Additional User Roles – Checkbox to enable Account User Roles (People icon) under Account Information. Note:
    • Primary commissions are tied to the Account User’s setup in their User file.
    • Related reports include:
      • Management – Preparer’s Commission Report
      • Management – Account User Role Commission Report
  • Require Last Four of SSN for New Client Appointments – Checkbox to require last four digits of SSN/SIN when adding new clients.
    Note 1: Recommended for Check-In Screens to ensure clients are matched to scheduled appointments.
    Note 2: Any four-digit number is accepted (e.g., 0000).
  • Copy New Client’s Access Code to Cell Phone On Check-in – Checkbox to automatically copy the Access Code entered on the Self Check-in page to the client’s Cell Phone field. Used primarily for prospect communication at trade shows or conferences. Twilio integration recommended.
  • Display On Lobby Tracker and Lobby Information Screens – Checkbox to show this Business Type’s lobby status info on Lobby Management Pages.
    Notes:
    • Useful for walk-in traffic or retail workflows.
    • For Tax Preparation, select this only if you use ATOM for other workflows to prevent overlap in lobby tracking.
  • Don’t Display on the Client Portal Invoices – Checkbox to hide Client Account Transaction info from the Client Portal for this Business Type.
  • Leave Previous Events Open On Check-in – Checkbox to allow already-open Events to remain open when a client is checked in.
